The Client
A new fund management company is seeking an Operations and Administration Manager to oversee and ensure the smooth running of daily operations and administrative tasks. The ideal candidate will be detail-oriented, organized, and possess strong communication skills. They will be responsible for managing operational workflows, maintaining compliance with regulatory requirements, and supporting various administrative functions.
Responsibilities
- Manage the day-to-day operations, ensuring efficient and effective workflows
- Monitor and report on the performance of operational systems and implement improvements as needed
- Coordinate with legal and compliance officer to ensure all documentation and operations meet regulatory standards
- Support data entry, record-keeping, and the generation of reports
- Maintain accurate records of all transactions and holdingsPrepare and distribute regular performance and compliance reports to stakeholders
- Manage relationships with external vendors, including custodians, brokers, and other service providers
- Negotiate contracts and ensure service level agreements are met
- Oversee general office operations, including supplies, equipment maintenance, and facility management
- Ensure a well-organized and efficient office environment
- Provide administrative support to senior executives, including scheduling meetings, managing calendars, and handling correspondence
- Assist in the preparation of presentations, reports, and other documentation for internal and external meetings
- Assist with HR functions such as recruitment, onboarding, and employee record management
- Coordinate training and development programs for staff
- Organize and manage company events, meetings, and conferences
- Handle logistics, including venue selection, catering, and travel arrangements
Requirements
- Bachelor’s Degree in Business Administration, Finance, or a related field
- Minimum of 8-10 years of experience in operations and administration, preferably in the financial services or fund management industry
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with financial software and databases
- Understanding of financial regulations and compliance requirements
- Excellent written and verbal communication skills
- Strong organizational and time management skills with the ability to handle multiple tasks and prioritize effectively
- High level of accuracy and attention to detail
- Ability to work collaboratively with a team and build strong relationships with internal and external stakeholders
- Well spoken English and Chinese
